Mastering Dext

Welcome to our guide on mastering Dext! If you're looking to breeze through your financial documentation process and save yourself some precious time, you're in the right place. Dext offers a variety of ways to submit your financial documents, let's dive into all your options!

Method: Mobile Phone App

Suggested Use: On-the-go snaps of physical source docs

Tips + Tricks:

  • Before taking the photo, make sure the entire document is visible within the frame.

  • Be sure to submit a single document for each transaction and avoid uploading multiple items in one photo to maintain clarity.

  • When uploading purchases → choose Costs, and when uploading money received → choose Sales. There is an option to toggle between both for ease.

  • There are certain cases where we need you to jot a note in the Description box → for example, when an item is paid with personal funds.


Method: Email Forwarding

Suggested Use: Automated bill forwarding and speedy forwarding as you receive email receipts

Tips + Tricks:

  • You can find your custom email-in addresses for your account by logging into Dext and going to My Profile → My Details → Look under the heading: Extract By Email.

    • You will notice specific email addresses for single or multiple submissions — as well as Costs or Sales.

      • Single: this address is for submitting a single item and transaction. Be sure to only send one page to this email!

      • Multiple: this address is for submitting multiple items, via PDF. It can contain transactions of up to 200 pages → but be sure to have one transaction per page!

  • Pay attention to the recommended file type and be sure to attach source documents to the email or have them be contained in the body or the email.

    • Submittable file types include: JPG, PNG, or PDF

  • You can add your custom Dext email to any online subscriptions that email your invoices or set up filters in your email program to auto-forward!

    • This will ensure they will automatically land into your Dext!

  • If you need to add a note in the Description box of Dext for this email-in submission → sandwich the note between #notes.

Method: Dextension Browser Extension + Website

Suggested Use: Desktop Chrome extension, ideal for both quick in-the-moment uploads while working on your computer as well as bulk uploads.

Tips + Tricks:

  • To install Dextension, go to the Chrome web store and click on the button Add to Chrome — then pin the extension logo.

  • You can drag and drop files (JPF, PDFs, and screenshots are all suitable options) on any page in your browser or right-click on files opened in your browser and choose Upload to Dext

    • Then you can choose one of two options —Cost or Sales— as it pops up.

      • Cost: this is a dedicated space for accounts payable and business expenses. TLDR; for money going out!

      • Sales: this is a dedicated space for invoices and financial documents that your business issues to its customers for payments. TLDR; for money coming in!

General Dext Submitting Tips & Tricks:

  • Meals & Expenses

    • If you add a tip on top of your total, make sure you upload both the original bill and the debit or credit slip to show the tip total. Both slips can be photographed side by side (using the app!) and uploaded as a single file.

  • Paying for Business Expenses with Personal Funds

    • Upload the receipt as usual, but use the Description box to indicate that it was paid with personal funds.

    • If you have business partners, be sure to add your initials to the box!

    • Of Note: When using the Browser or Dextension you cannot add a note to the Description box — email forwarding and the app are more ideal submission methods for this tip.

  • Paying for Business Expenses with Cash

    • Upload the receipt as usual, but use the Description box to indicate that it was paid with cash.

    • If the cash was part of your personal funds, please indicate this by including "Paid with personal funds (initials)"

    • Of Note: When using the Browser or Dextension you cannot add a note to the Description box — email forwarding and the app are more ideal submission methods for this tip.

  • Avoid using the Dext Fetch Integration due to potential issues such as outdated invoices and password problems. Instead, stick to emailing in and email forwarding!

As a reminder, be sure to not edit or add any of the following information:

  • Category

  • Total Amount

  • Tax Amount

  • Payment Method

Once you've uploaded your documents → our bookkeepers will log in, review the info, and submit the transaction to Quickbooks. If we are missing any receipts, you'll notice the transaction(s) on your OT!
